Minutes of ATLAS Education/Outreach Committee

9 June 1998

In the absence of M. Barnett the meeting was chaired by E. Johansson.

13 committee members were present plus P.Jenni (part time), T. Akesson, F. Close, and P. Rimmer.

New technical brochure, Ana Henriques

Several options for a technical brochure were discussed:

  • A 4 or 6 page brochure complementing the existing Atlas brochure.
  • A set of loose pages complementing the existing Atlas brochure.
  • A 6 page brochure including the material of the existing brochure.

It was decided to aim for a 6 page technical brochure complementing the existing one. The layout and style should be similar to the existing one. At present we assume that the financing and the CERN assistance with technicalities like layout etc will be the same as for the other Atlas brochure. For this to happen an ATLAS request will have to be sent to CERN (to Frank Close).

We have to find the leading person, the editor for the technical brochure. Several persons were willing to contribute towards the brochure, but we have to find an editor.

The brochure will cover all the Atlas detectors rather than focusing on a few of them. It will emphasize the technical challenges and high tech at work in many of the Atlas detectors. It will also cover aspects of the collaboration, like how physicists, engineers, and students from different countries work together and how the collaboration is set up. By necessity this brochure will be more technical than the existing one, but it is important to make it clear and simple.

The video, J. Visser

The Dutch editor will not be available until summer 1999. Alternatives therefore have to be explored. A group from Louvin has made a few videos at CERN with good results. It was decided that L. Silverman and J. Visser should contact the group and find out whether they are available and what the cost would be. Judging from other videos the group has produced, the cost is expected to be around 70 ksfr, similar to the price quoted by the Dutch editor, for a 15-20 min video in English and French.

The Atlas model, Tim Jones (UK representative)

The Atlas model being produced in UK will cost around 6000 pounds (15 ksfr). It will be typically one meter long and 70 cm in diameter (scale 1:35) and will have several detachable parts. It was decided to find out what the price for a model would be when ordering 5, 10 or 20 models. Several persons were interested in buying such a model. Hopefully the price would go down when making several models.

CERN Users Outreach Group, F. Close

Brief discussion about a possible future permanent LHC exhibition either at CERN or in a new Science Centre in Geneva.

Atlas slides and photographs, E. Johansson

A standard set of easily available Atlas transparencies would be of great help for those interested in giving talks about Atlas. The CERN photo database presently contains only 14 scanned Atlas pictures. It was decided to start by producing an up-to-date database with scanned photographs, computer generated pictures, and simulated events.

J. Knobloch volunteered to work with the database. Doing this together with the CERN Document handling Group both ATLAS and CERN would profit from a new and updated database with Atlas photos, drawings, and events. Afterwards we could consider selecting a standard set of transparencies which we could print in rather large quantities. The price per transparency would be below 1sfr.. After inspecting the present CERN database, I think would recommend a somewhat higher resolution than the existing one, which is 144 dpi for size A4.

Financing

The outreach projects require financing. Many ways to finance the different projects have to be found.

Financing the Atlas model
The Atlas model will have to be paid by those who want it.

Financing the video
Several groups and institutes have declared an interest in contributing towards the Atlas video. However, for this project to go ahead more groups or institutes have to manifest their support and willingness to contribute.

Future financing
In the near future we need a way to receive payments from the different institutions. An Outreach Account at CERN could be the technical solution. In the medium term future it would be an advantage to have the Outreach activities financed in a simple way e.g., via the Atlas Operation Common Fund.

Summary of actions to be taken

  • Find an editor for the technical brochure (E/O convenor (M.Barnett) + E/O Committee)
  • A request to CERN to finance and assist in producing the technical brochure as for the existing one.(Atlas spokesman)
  • Find another producer for the video (J. Visser and L. Silverman)
  • Find out the costs for 5, 10 or 20 ATLAS models (Tim Jones, UK)
  • Photo and event collection and database (J.Knobloch, E.Johansson, and the Doc. Handling Group)
  • Set up of a CERN account for the E/O Project (E.Johansson + Atlas resource coord.)
  • Make a plan for E/O financing (M. Barnett, E.Johansson, and spokespersons)
